How does a nail technician booking app work in South Africa?

A nail technician booking app lets clients book a new set, a fill, a gel overlay or a pedicure online, see the price and time for each, and pay a deposit when they book. In South Africa most nail techs still take bookings through WhatsApp and Instagram DMs, which means hours of back and forth and no protection when a two-hour acrylic slot is left empty. Booklink gives you a shareable booking link where clients self-book into your real availability. Service variants handle short, medium and long pricing inside one service, multi-service bookings let a client add a soak-off or nail art to their set with one combined deposit, and rooms stop two pedicures landing on one chair. Deposits run through Yoco, Paystack, PayFast, or iKhokha. Booklink is free for 30 bookings per month and R79/month on Pro for unlimited bookings, with no commission.

How nail technicians use Booklink

Separate new sets from fills

A full acrylic set and a fill take very different amounts of time. List them as separate services with their own durations, so a two-hour set never gets squeezed into a fill slot.

Price by length

Short, medium and long become variants of one service, each with its own minutes and price. Your booking page stays tidy and the client pays the right amount for the length they chose.

Add soak-offs and nail art

Clients add a soak-off, a French finish or art to their set in the same booking. Booklink books the combined time back to back with the same technician.

Deposits on long sets

Require a deposit on full sets and sculpted extensions, and leave a quick polish change free to book. Deposits are set per service on Pro.

Time to sanitise

Add buffer time after each appointment for cleaning tools, wiping down the station and prepping the next client. Booklink spaces bookings for you.

Know your fill regulars

Every booking builds a client record with history and private notes, so you remember shape, length and the colour she had last time.

Setting up a nail menu that books itself

Start with the services that take the most chair time. A full acrylic or sculpted gel set usually needs far longer than a fill two or three weeks later, so give each one a realistic duration rather than one average slot. If you price by length, add the lengths as variants of the same service. A client choosing a long set is only offered times where the full long-set duration is free.

Next, add the extras as small services of their own: soak-off, French, chrome, nail art per nail or per set, and a repair for a broken nail. With multi-service bookings on, the client builds her visit in one go and Booklink books it back to back. Where services carry different cancellation policies, the combined booking follows the strictest one.

Then decide where deposits belong. Many techs put a deposit on full sets and extensions, where an empty slot hurts most, and leave short services like a polish change open. Use a custom booking question to ask for inspiration pictures to be sent on WhatsApp, or whether the client has an existing product that needs removing, so you are not surprised on the day.

Finally, share the link in your Instagram bio, WhatsApp status and Google Business Profile. If you are new to taking bookings online, our guide to online booking in South Africa covers the basics, and your booking page can carry your logo, a welcome note and photos of your work.

Frequently asked questions

How much does Booklink cost for a nail technician?

Booklink is free to start with 1 service, 1 team member, and 30 bookings per month. The Pro plan at R79/month gives you unlimited services and bookings, up to 5 team members, deposits via Yoco, Paystack, PayFast, or iKhokha, multi-service bookings, Google Calendar sync, and WhatsApp reminders. Booklink takes no commission on your bookings.

Can I charge different prices for short, medium and long nails?

Yes. Use service variants. One service, such as Gel overlay, can carry a short, medium and long option, each with its own duration and price. Clients see the service once with a from price and pick their length. Variants are included on every plan, Free and Pro.

How do clients add a soak-off to their new set?

Create the soak-off as its own short service. With multi-service bookings switched on (Pro), the client adds the soak-off and the new set to one booking. Booklink adds up the time, only offers slots where the whole visit fits with the same technician, and collects one combined deposit.

Can I take a deposit for nail appointments?

Yes, on the Pro plan. Set a deposit per service and connect Yoco, Paystack, PayFast, or iKhokha. The booking is held until the payment succeeds, then confirmed automatically. You can also switch on the full payment option so clients can pay the whole amount upfront. Refunds are handled in your gateway dashboard, under your own cancellation policy.

Can Booklink stop a client booking a fill when they really need a new set?

Booklink cannot see the nails, but it can ask. Add a custom booking question to your fill service, for example a dropdown asking how long ago the last set was done. The answer arrives with the booking, so you can spot a five-week-old set and message the client before the day. Custom questions are on every plan.

Does Booklink work for a nail bar with several technicians and pedicure chairs?

Yes. Add each technician as a team member (up to 5 on Pro), each with their own hours and services. Set up your pedicure chairs as rooms and tie your pedicure services to them, so two pedicures are never booked onto one chair at the same time, even when two technicians are free. Rooms are included on every plan.
