Yoga and Pilates studio booking software lets clients see your class timetable, book a spot in a class with limited places, join a waitlist when it is full, and pay per class or from a prepaid class pack. Many South African studios still run bookings through WhatsApp groups and spreadsheets, which makes full classes, waitlists and pack balances hard to track. Booklink gives a studio a shareable booking link with recurring weekly classes, a capacity per class that can match the number of reformers or mats, an automatic waitlist that promotes the next client when someone cancels, minimum attendee numbers with auto-cancel, and class packs sold as session packages. Payments run through Yoco, Paystack, PayFast, or iKhokha. Classes, packs and payments are on the Pro plan at R79/month with no commission. Booklink sells prepaid packs, not recurring memberships.
Set up a series once, such as Monday, Wednesday and Friday at 6am, and Booklink creates the sessions. Cancel or change one class without touching the rest.
Eight reformers means a capacity of eight. Mat classes can take more. The booking page shows spots left and stops at full.
When the 6pm flow is full, clients join the waitlist. A cancellation promotes the next person automatically, so the spot is not lost.
Sell 5 or 10 class packs upfront with an optional expiry. Clients book seats from a private link, and cancellations inside your window return the credit.
Offer one-on-one sessions alongside classes. Tie both to the studio room so a private is never booked into a class slot.
See who is coming, how many seats each booking covers and who is waitlisted before the instructor walks in.
Studio booking without a per-booking cut or a platform marketplace sitting between you and your clients.
Capacity, waitlist, recurring series, multi-seat bookings and minimum attendees. Classes and group sessions.
Prepaid credits for a class, sold online or at the front desk, with credits sold, used and remaining on every pack. Session packages.
One class, two variants, two prices. Service variants, plus per-seat payment through Yoco, Paystack, PayFast, or iKhokha.
A class reserves its room for the whole session, so nothing else can be booked into it. Rooms and resources.
Create a group service for each class type: Vinyasa, Yin, mat Pilates, reformer Pilates, beginners, prenatal. Give each a capacity that reflects the room. For reformer classes that is the number of machines, not the number of people who can fit, and the booking page will never oversell a machine. Switch on the waitlist for the busy early morning and after-work slots.
Then build the timetable as recurring series. Booklink generates upcoming sessions on a rolling basis, so clients can always see the next few weeks. If an instructor is away, cancel that one class without affecting the rest of the series. Add each instructor as a team member (up to 5 on Pro) so the right name shows on the class.
Decide how clients pay. Drop-in clients can pay per seat when they book. Regulars can buy a class pack, which is a session package tied to one class service. A 10 class mat pack is used on mat classes, so sell a separate pack for reformer if your prices differ. Set an expiry in months if packs should not last forever. Clients cancelling inside your cancellation window get their credit back automatically.
For quieter slots, set a minimum number of attendees so a class that does not fill can be cancelled in good time. Pair everything with WhatsApp reminders on Pro so clients remember their 6am spot. If you are comparing systems, our online booking system guide sets out what South African studios should look for.
Booklink is free to start with 1 service, 1 team member, and 30 bookings per month for one-on-one sessions. Classes and group sessions, session packages, payments and WhatsApp reminders are on the Pro plan at R79/month, which also gives you unlimited services and bookings and up to 5 team members. There is no commission on class bookings or pack sales.
Yes. Every group session has a capacity. Set it to the number of reformers or mats in the room and the booking page stops taking bookings once the class is full, or offers the waitlist instead if you have switched it on.
Yes, as session packages on Pro. Create a pack of, say, 5 or 10 credits for a class, set the price and an optional expiry in months, and clients buy it online through Yoco, Paystack, PayFast, or iKhokha, or you record a cash or EFT sale. Each seat booked uses one credit, and credits return if the client cancels inside your cancellation window. A pack is tied to one service, so sell a separate pack for mat and reformer classes. Booklink sells prepaid packs rather than recurring monthly memberships.
Clients can join the waitlist. When someone cancels and a spot opens, Booklink promotes the next person on the waitlist automatically and lets them know their spot is confirmed. You do not have to message anyone.
Yes. Service variants work on classes, so one class can offer a drop-in variant and a member variant, each with its own price. Variants are included on every plan.
Yes. Set up your studio as a room and tie both the classes and your private sessions to it. A group session reserves the room for its whole length, so a private cannot be booked into the studio during a class. Rooms are included on every plan.
Set a minimum number of attendees on the class. If bookings do not reach that number before the session, Booklink can trigger the auto-cancel flow so you are not opening the studio for an empty room. You can also cancel a session by hand from the dashboard.
