A physiotherapy booking system lets patients book an initial assessment or follow-up treatment online, choose their physiotherapist, and receive confirmations and reminders automatically. In South Africa, private physiotherapists are registered with the HPCSA and most patients pay the practice and claim from their medical aid themselves, so the booking system's job is the diary, not the claim. Booklink gives a practice a shareable booking link with separate services for assessments and follow-ups, per-physio working hours, treatment rooms that are reserved with each booking, Google Calendar sync, WhatsApp and email reminders, and optional upfront payment via Yoco, Paystack, PayFast, or iKhokha for cash patients. Booklink does not submit medical aid claims. It is free for 30 bookings per month and R79/month on Pro for unlimited bookings with no commission.
A first visit needs time for history, examination and a treatment plan. Follow-ups are shorter. Give each its own service and duration so the diary reflects real clinical time.
Tie services to treatment rooms. A slot only appears when a physio and a room are both free, so two patients never arrive for the same cubicle.
Rehab only works when patients keep coming. WhatsApp and email reminders go out automatically, with links to reschedule instead of simply not showing up.

Most practices set up two core services: an initial assessment and a follow-up treatment. Some add a separate service for sports injuries, dry needling or post-operative rehab if those run to a different length. Set a minimum notice period if you do not want same-hour bookings, and a booking window so patients can book their next few follow-ups but not months ahead.
Medical aid stays where it is today. Booklink does not know a patient's scheme or benefits and does not submit claims. Patients who pay and claim back simply book as normal. If you want a deposit on a first assessment, or full payment from patients paying cash, switch that on for the relevant service only.
For practices with several physios sharing a smaller number of rooms, add the rooms once and tie each service to the rooms it can use. A physio who is free but has no room available is not offered to patients, which removes the corridor shuffle at busy times. Each physio can connect their Google Calendar so hospital visits and personal commitments block their slots.
Every booking creates a client record with contact details and booking history, which makes it easy to see who has dropped off a treatment plan.
